Purpose, Audience and Type of ReportsWhat your audience needs to know will dictate what type of report you will need to write, and to what degree of detail. Knowing your reader in terms of their wants, needs, expectations and preferences is key to writing the correct type of report. As is knowing what the report is to be used for. There are many sorts of reports used in business and commerce to generate and convey information. The sorts participants use will be given emphasis.
-
The Report Writing ProcessThe Overview stage – identifying what information already exists, drawing up a time management action plan, and identifying possible sources of help/resource.
The Roadmap stage – Creating an outline of the topics your report needs to cover enables you to stay focused within the parameters set. How you create the outline is a matter of choice. Outline tools such as personal brainstorming, group brainstorming, mind-mapping and lists will be demonstrated and practised.
Objective setting stage – devising an objective or objectives. Poor or loose objectives will result in a poor report. The importance of a clear objective(s) will be covered in detail.
Collecting and analysis stage – making sure the information you gather is relevant, factually correct and up-to-date. Collating information to form a logical order to facilitate the reading experience.
Writing the first draft – starting to write the report. Following the structure as determined by the sort of report you are writing. Use of language, attending to grammar, spelling and punctuation.
Proofreading and edit stage – the importance of checking and double-checking your work before it is signed-off and submitted.
